Privacy Policy for IncidentAnalytix Publisher: Outdoor Ed LLC Effective Date: January 1, 2026
Outdoor Ed LLC (“OE LLC”, “we”, “us” or “our”) is committed to protecting your privacy. This Privacy Policy describes how we handle personal data in connection with IncidentAnalytix and the SystemsAnalytix suite of applications which operate on the Microsoft Power Platform. This Policy is intended to meet our End User License Agreement (EULA) obligations and comply with Microsoft AppSource listing requirements.
By using IncidentAnalytix or interacting with our website, you acknowledge that you have read and understood this Privacy Policy.
1. Data Collection and Use
No Personal Data Collected by the Publisher: OE LLC does not collect, transmit, or store any personal data from users through the normal operation of IncidentAnalytix. All information you input into the application (such as incident reports, program details, health data, or personnel records) remains exclusively within your own Microsoft Power Platform environment (your “Tenant”).
We do not receive or access this data on our servers.
There are no “telemetry” or background data transfers from the app to OE LLC.
We do not use third-party analytics trackers within the application logic.
In-Platform Data Storage: Any data entered in our apps is stored in your organization’s Microsoft Dataverse/Power Apps environment, under your control and governed by your agreement with Microsoft. Microsoft’s Online Services Terms and Privacy Statement cover how Microsoft handles and protects that data as the cloud provider.
Usage of Data: Since we do not receive your application data, we do not use it for any commercial purpose. We do not sell, rent, or share your application data with any third parties. We provide the logic and the software model; you manage the data within your Microsoft environment.
2. Cookies and Local Storage
IncidentAnalytix is a Model Driven App that runs within a web browser or the Power Apps mobile player. As such, the underlying Microsoft platform uses cookies and local storage to maintain user sessions, authentication, and application performance.
OE LLC Cookies: Our specific solution logic does not deploy custom tracking cookies.
Microsoft Platform Cookies: Your usage is subject to Microsoft’s cookie policy as required for the functioning of the Power Apps service.
3. Support Scenarios and Customer Communications
While our software is designed so that we don’t access your data, there are rare cases where you might voluntarily share some data with us to resolve a technical issue:
Customer-Initiated Support Requests: If you contact OE LLC for support and send us a screenshot, error log, or database extract, we will use that information only to troubleshoot and assist you. We request that you limit shared data to the minimum necessary. Please anonymize or redact personal/sensitive details before sending files.
Confidential Handling: Any customer data shared for support is treated as confidential. Only authorized OE LLC support personnel will view the information.
No Retention After Support: Once your support issue is resolved, we will securely delete any copies of customer data provided during the support process.
Contact Info: If you contact us via email, we retain your contact information (name, email) solely to respond to your inquiry. We do not add you to marketing lists without consent.
4. Data Security Measures
Platform Security (Microsoft’s Responsibility): IncidentAnalytix runs within Microsoft’s Power Platform cloud. Microsoft is responsible for securing the infrastructure where your data resides, implementing measures such as encryption, access controls, and threat detection. You manage security settings (User Roles, Field Security Profiles) through your Power Platform admin center.
OE LLC Security for Support Data: In the limited events when you share data with OE LLC for support, we take appropriate technical measures to safeguard that data, including:
Storing support files in a secure, access-controlled environment.
Limiting access to the specific personnel assisting you.
Using encryption for data in transit.
Promptly deleting the data once the support ticket is closed.
5. Data Subject Rights (GDPR/CCPA)
Because OE LLC does not store, process, or control your application data, we cannot directly fulfill data subject requests (such as “Right to be Forgotten” or “Right to Access”).
For End Users: If you wish to access, correct, or delete data stored within IncidentAnalytix, please contact your organization’s IT Administrator or System Controller.
For Administrators: You retain full control over the data in your Dataverse environment. You can export or delete data at any time using standard Microsoft Power Platform tools.
6. Third-Party Services and Microsoft’s Role
Microsoft Power Platform: Microsoft is the service provider hosting your data. OE LLC does not have backdoor access to your platform data. For questions regarding data residency, compliance certifications (e.g., SOC2, HIPAA), or physical security, please refer to the Microsoft Trust Center and the official Power Platform Security Documentation.
Third-Party Integrations If you configure IncidentAnalytix to export data to other systems (e.g., via Power Automate to a third-party API), those data flows are initiated and controlled by you. We are not responsible for the privacy practices of third-party services you choose to integrate with.
7. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in our practices or for legal reasons. If we make material changes, we will post the updated policy on our website and update the “Effective Date” at the top. Continued use of IncidentAnalytix after such changes constitutes acceptance of the revised Policy.
