Program compliance with the automation built in.

Register programs, apply requirements automatically, track approvals to closure, and report with confidence — all inside your own Microsoft tenant

Why it matters

Compliance risk keep growing. Your administrative capacity doesn't.

Regulatory requirements evolve. Public scrutiny increases. The number of programs your organization runs — study abroad, youth programs, field research, training, grant-funded work — keeps growing. What doesn't grow at the same rate is the staff time available to track every requirement by hand. ProgramAnalytix is a complete Program Compliance Management System.

New to Program Compliance Management Systems? Here's what that means.

A Program Compliance Management System (PCMS) is a platform that structures, automates, and audits the compliance requirements your organization applies to programs and activities before they run. It replaces the combination of shared spreadsheets, email reminder chains, and manual checklist reviews that most organizations currently use.

Requirement Stacks are sets of compliance tasks defined by program type — the specific forms, approvals, qualifications, and reviews that a given category of program requires. Define them once; the system applies them automatically to every matching submission.

Approval Workflows are automated routing rules that send completed requirements to the right approvers and collect their decisions in a timestamped, auditable record — without anyone manually forwarding emails or following up on status.

You don't need to redesign your compliance process to use ProgramAnalytix — it structures what you already require. It's here because defensible program compliance depends on documented, consistent processes, not on whether the right person happened to see the email.

How it works

Compliance starts with data

Register

Every Program - one location

Configurable intake for programs and activities across your organization. Participant requirements, staff qualifications, travel plans, training records, and site approvals — all in one structured record from the moment a program is submitted.

Track

Every Requirement - one source

Define requirement stacks by program type once. When a program is submitted, the right requirements are assigned automatically to the right people with clear due dates. Automated reminders and escalations handle the follow-up.

Approve

Every Approval - fully auditable

Requirement completion triggers Microsoft Approval workflows by email or Teams. Each decision is logged with name, timestamp, and any comments. No program proceeds without a complete audit trail.

Capabilities

Built for real compliance work.

Requirement Stack Automation

Define requirement sets once by program type. A camp involving minors gets minor-protection requirements applied automatically. A study abroad program gets international travel requirements. A safety training gets its own checklist. No manual review of every submission.

Benefit: Consistency of application without manual triage of every program that comes in.

Multi-Stakeholder Approval Workflows

Microsoft Approvals integration routes completed requirements to the right approvers — by email or Teams notification. One-click approve or deny, with comments. Every decision is logged with name, timestamp, and outcome.

Benefit: Governance without herding approvers by email.

Smart Reminders & Escalations

Automated reminders go out as requirement deadlines approach. When a deadline passes unmet, the system escalates to the responsible supervisor automatically. Status goes red. The compliance team sees it without asking.

Benefit: Compliance staff spend time on exceptions, not on sending follow-up emails.

Real-Time Compliance Dashboard

See completion percentage, overdue requirements, and pending approvals across all active programs at a glance. Filter by program type, department, or owner. Leadership gets the full picture without asking for status reports.

Benefit: No surprises. Troubled programs surface early enough to get help.

Audit Trails & Documentation

Every action is recorded — who completed each requirement, when, who approved it, and any comments or files attached. Export a full compliance report for any program, structured for auditors, oversight committees, or legal review.

Benefit: When asked "did you follow your procedures?" the answer is a timestamped report, not a search through email.

Reporting & Analytics in Power BI

Live dashboards on compliance rates, approval timelines, overdue items, and non-compliance trends — built directly on your Dataverse data.

Benefit: Board- and accreditor-ready reporting without manual assembly.

Program Compliance — No Spreadsheet Can Match This

Requirement automation that knows your programs.

Sending requirement checklists by email means someone will miss something. Tracking compliance in a spreadsheet means your compliance data is always a step behind. ProgramAnalytix applies the right requirements automatically, routes approvals without human intervention, and escalates missed deadlines before you know they're overdue.

Requirement Stacks

Defined once. Applied everywhere.

Build requirement sets by program type. A program involving minors automatically inherits your minor-protection stack. A study abroad program gets international travel requirements. A field safety training gets its specific checklist. Define each stack once — the system applies it to every matching submission from that point forward.

Automatic Assignment

Everyone knows what they owe, from day one.

The moment a program is submitted, every requirement is assigned to the right person with a clear due date. No manual distribution. No "did anyone tell the safety officer?" The task is already in their queue before the program organizer has finished the submission form.

Escalation Engine

Missed deadlines get noticed, automatically.

When a requirement isn't completed by its due date, the system sends a reminder. If it's still outstanding, it escalates to the supervisor. The compliance team doesn't need to monitor every deadline — the system does, and it only surfaces exceptions that need human judgment.

This is what separates a compliance management system from a shared checklist. The automation doesn't replace judgment — it makes sure nothing slips through while your team is focused on the programs themselves.

Standards support

Built to support the standards you're accountable to

ProgramAnalytix supports your organization's conformance with the program management and compliance requirements of the standards that govern your work.

How ProgramAnalytix helps you meet safety standards
What the standard requiresHow ProgramAnalytix supports it
ISO 45001 §8.1 — operational planning & control of the processes needed to meet OH&S requirements Program-type templates auto-assign the required program, participant, staff, and volunteer requirements, so each program's safety controls are applied consistently rather than left to memory.
ISO 45001 §7.5 — maintain documented information as evidence of conformity Every requirement, approval, and status change is captured as a timestamped, retained record — documented evidence available for audit without reconstruction.
ISO 45001 §9.1 — monitor, measure, and evaluate performance Power BI dashboards report compliance rates and trends across programs, so performance is measured continuously instead of assembled at audit time.
ISO 21101 — safety management system for adventure activities: documented procedures, competent staff, participant screening Tracks the program-side requirements per adventure program type — required staff qualifications, signed procedures, and participant prerequisites — each attested and approved at the program level.
Title IX — required staff training on sex-discrimination and harassment policy Tracks the program's attestation that required Title IX training is complete for its staff, with approver and sign-off date recorded.
Program accreditation (e.g. camps) — documented staff qualifications, health & safety requirements, participant screening Assigns each accreditation's required items to the program, and records the director's attestation and approval office sign-off that each is satisfied.
Minor-protection policies — background checks, training, and supervision controls for programs serving minors When a program is flagged as involving minors, automatically applies the minor-serving requirement stack — background-check attestation, minor-protection policy agreement — and records that the program has attested each complete.
Grant compliance requirements — funder-imposed program deliverables and conditions Tracks grant deliverable requirements per program with completion status and exportable reports for funder submission.

ProgramAnalytix supports the program-management and compliance requirements of ISO 21101 for adventure and outdoor programs.

How your people access it

Three entrances, one Dataverse.

Internal staff work in the full Model-Driven App; field and occasional users report through an authenticated Power Pages portal — both on the same Dataverse records in your tenant. And you can run the Model Driven app directly inside Microsoft Teams.

In-house · everyday users

Model Driven Power App

For the people who work the incidents — your safety office, investigators, and administrators. They get the full experience inside Microsoft 365: rich forms, dashboards, bulk actions, and the complete contributing-factor analysis, governed by your Entra ID.

Occasional users

Power Pages Web Site

For the people who submit data to the system — field staff filing a report from a remote site, or a program director reviewing their own incidents — Power Pages offers a secure, web portal, without requiring every user to have a full application seat.

Teams

Microsoft Teams

The same Model-Driven App, running inside the Microsoft Teams client your staff use every day. No separate app to launch so reporting and review happens as part of daily workflow. Dataverse security roles and permission still apply in Teams

The portal is an add-on to ProgramAnalytix, not a separate system. It's another authenticated door into the same records in your tenant — so a program submission lands directly in the compliance team's workspace, with no re-keying and no data leaving your environment. It also maps the two audiences to two Microsoft licensing models: full application access for compliance staff, and more economical authenticated-portal access for program organizers — so you're not buying a full app seat for someone who submits three programs a year.

Better Together

ProgramAnalytix + IncidentAnalytix — one system, not two.

ProgramAnalytix runs completely standalone. But when both products are installed, the connection between program compliance and safety performance becomes visible in a way no separate system can provide. A bridge solution — installed on top of both products — connects them at the data layer.

Program Links

Incidents connect to active programs

When an incident occurs during an active program, it links directly to that program record in ProgramAnalytix. The program's safety performance becomes part of the compliance picture — visible to compliance staff without leaving their workspace.

One Source of Record

No double entry, no reconciliation

An incident filed in IncidentAnalytix appears in the linked program's incident list automatically. No exports, no re-keying, no stale reports. Both products read from the same Dataverse environment.

Compliance + Safety

The complete picture

See whether programs with frequent incidents are also out of compliance. See whether compliance gaps correlate with incident patterns. This kind of analysis is impossible when safety data and compliance data live in separate systems — and straightforward when they don't.

The IncidentProgram bridge is a separate managed solution installed on top of both products. It installs cleanly, upgrades cleanly, and can be removed without affecting either product.

Built to be extended

Not a locked box — a platform you can build on.

ProgramAnalytix installs complete and runs on day one, then your team extends it with the same low-code and AI tools you already license: add your own program types, custom requirement fields, approval flows, and Copilot Studio agents on top of a managed core that upgrades cleanly. Your compliance needs change; the system changes with them.

ProgramAnalytix also connects to the systems you already run. The Power Platform includes over a thousand data connectors — Excel, Teams, Salesforce, SAP, Oracle, and more — so program and compliance data can flow into and out of ProgramAnalytix without duplicated entry or manual exports.
